Vendor, Exhibitor and Sponsor Terms

A vendor sells goods or food at the event, an exhibitor shows products, projects or services without necessarily selling on the day, and a sponsor supports the event in exchange for the benefits listed in a sponsorship tier.

The person who applies confirms they are allowed to act for the business or organisation named on the application.

• Applying does not guarantee a place. We review every application and confirm places by email.
• A place is only secured once we confirm it in writing and any required payment has cleared.
• We may decline an application that does not fit the event, and we will say why where we can.
• You may not transfer or sublet your space or package to another business without our written agreement.

• Prices are listed in the currency shown when you apply or when your package is confirmed.
• Payment instructions and deadlines are included in your confirmation email. A place that is not paid for by the deadline may be released to the waitlist.
• You are responsible for any taxes or permits your own business needs to trade in Jamaica.

If you need to cancel, email expo@caribbean.dev as early as you can. Refunds depend on how close to the event you cancel and whether the space can be rebooked. Cancellations made less than 14 days before the event are not eligible for a refund.

If we cancel or postpone the event, confirmed vendors, exhibitors and sponsors are offered a full refund of fees paid to us or a place at the new date.

• Only the products, services or displays described in your application may be sold or shown.
• Counterfeit, stolen or unsafe goods are not allowed, and we can remove them immediately.
• Food vendors must follow the venue's food safety rules and hold any licences their menu requires.
• Live demonstrations must be safe for a busy public hall. Anything loud, hot, sharp or powered needs our approval in advance.

• We assign booth and stall positions. We try to honour preferences, but positions may change for safety or layout reasons.
• Setup and pack-down times are shared before the event and must be kept so the hall opens on time.
• Keep your display inside the space you are given and keep walkways clear.
• Leave your space clean and remove your rubbish. Damage to the venue is your responsibility.

Vendors, exhibitors and sponsors follow the same code of conduct as everyone else at the event: treat visitors, staff and other participants with respect. Aggressive selling, harassment or blocking other booths can lead to removal without a refund.

Each sponsorship tier lists its benefits, such as branding, booth space, tickets or stage mentions. Benefits apply to this edition of the event only and cannot be exchanged for cash.

Artwork, logos and talk content must reach us by the deadlines in your confirmation so they can be printed and scheduled.

You give us permission to use your business name and logo in event promotion while your booking is active. Photos and video taken at the event may include your booth or team and may be used in future promotion, as described in the Privacy Policy.

You bring stock and equipment at your own risk. We take reasonable care of the venue, but we are not responsible for loss, theft or damage to your property. If your activity requires insurance, arrange it before the event.
