Privacy Policy

This policy explains what personal details Caribbean Tech Connect collects when you visit caribbeantechexpo.com, register for Caribbean Tech Expo 2K27 or buy a ticket, what we do with them, who else sees them and the choices you have. It sits alongside our Terms of Service.
What is in this document
1. Who is responsible
Caribbean Tech Connect is responsible for the personal details described in this policy. We are based in Kingston, Jamaica. Write to us at expo@caribbean.dev and a person will handle your request.
2. What we collect
- Registration details you type into a form: full name, email address, contact number, and where relevant your organisation, your message, your exhibitor type, your vendor type or the sponsorship tier you are interested in.
- Ticket records: the ticket type and quantity you bought, the amount paid, the payment status, the DimePay order reference and transaction ID, and the payment response DimePay returns to us.
- Waitlist details: the email address you give when you ask to be told that registration has opened.
- Usage details: which pages you viewed, the button you clicked, the link or campaign that brought you here (for example utm_source and utm_medium), your device and browser type, and the country your request came from.
- Your preferences: whether you allowed analytics cookies, and the timezone you chose so event times display in your local clock.
- Correspondence: emails and forum messages you send us, including delivery reports telling us whether a message reached you.
Card payments are taken by DimePay on their own secure page. We do not ask for or store your full card number, expiry date or security code.
3. Why we use it
- To process your registration, answer your application and issue your ticket.
- To send confirmations, receipts, reminders and changes to the programme.
- To tell you when registration opens, if you asked us to.
- To check for duplicate or suspicious sign-ups and protect the forms from abuse.
- To see which sessions, pages and buttons bring people to the event, so we spend effort where it works.
- To keep records we need for accounting and to answer questions after the event.
4. Legal basis
We rely on three things:
- Contract: you asked us to register you, review an application or sell you a ticket.
- Consent: analytics cookies and waitlist or marketing emails. You give it, and you can withdraw it at any time.
- Legitimate interests: keeping the site secure, keeping records accurate and improving the event.
5. Who sees your details
We share only what each provider needs to do its job, and we do not sell personal details.
- DimePay processes card payments and settles money to us.
- SendGrid delivers our confirmation emails, receipts and reminders.
- Our hosting and database provider stores registrations, tickets and settings.
- Google Analytics measures site usage, and only after you accept analytics cookies.
- Our own organisers and admins, each limited to what their role allows. Every visit to the dashboard is logged.
We may also disclose details where the law requires it, or to protect the safety of attendees and the integrity of the event.
6. Where your details are processed
Most of the providers named above are based outside Jamaica, so your details may be stored and processed in other countries. We use their standard agreements and technical safeguards rather than passing data to anyone unconnected with the event.
7. How long we keep it
Registration and ticket records are kept while the event runs and afterwards for accounting and reporting, then reduced to what the law requires us to retain. Waitlist addresses are kept until you unsubscribe. Usage data is held for the period configured in our analytics settings. If you ask us to delete your details and we have no legal reason to keep them, we do.
9. Your rights
You can ask us to:
- show you the details we hold about you;
- correct anything that is wrong;
- delete your details;
- stop using them for marketing or analytics;
- hand your details to another service in a usable format.
Email expo@caribbean.dev with what you want and we will respond within 30 days. Every marketing email also carries an unsubscribe link that works immediately. If you are unhappy with how we handled your request, you can raise it with Jamaica's Office of the Data Protection Commissioner.
10. How we protect it
The site runs over HTTPS. Public registration forms validate what they accept and rate checks are limited to what a genuine submission needs. The organiser dashboard is reachable only by invited staff and admins, access is checked on the server rather than in the browser, payment credentials stay on the server, and dashboard visits and failed attempts are recorded in an activity log. No system is perfect, so tell us straight away if you think something is wrong.
11. Younger visitors
The site is written for adults attending a professional event. If you are under 18, ask a parent or guardian before registering. We do not knowingly collect details from children beyond what a registration form asks for, and we do not market to children.
12. Changes to this policy
We update this policy when our practices change. The date at the top shows the current version. Where a change affects people who already registered, we say so in an email rather than only here.
