Event Policies

These policies apply on site at Caribbean Tech Expo 2K27 in Kingston, Jamaica, and cover everyone in the hall: attendees, exhibitors, vendors, sponsors, speakers, volunteers and guests. They exist so the day runs safely and stays useful for the people who came to do business. They sit alongside our Terms of Service, which cover registration, tickets and payments, and our Privacy Policy, which covers your personal details.

1. Behaviour on site

The expo is a working space for founders, students, developers and companies from across the region. Speak to people the way you would want to be spoken to, and respect a no when someone says one.

We have no tolerance for harassment, discrimination, intimidation or unwanted attention. If something happens that worries you, tell any volunteer or staff member wearing an organiser badge, or email expo@caribbean.dev. Organisers can ask anyone to leave, and a removal caused by conduct does not come with a refund.

2. Badges and entry

Every registration produces a badge or a check-in reference at the door. Wear your badge where it can be seen, because it is your ticket, your exhibitor pass or your crew pass for the day. Badges are personal to the named holder. If a ticket is moving to someone else, contact us first so the record can be updated. A lost badge can be replaced at the help desk. When the hall reaches its safe capacity, entry is held until space opens.

3. Children and young people

Someone under 18 registers with the agreement of a parent or guardian and attends with an accompanying adult, who stays responsible for them. Children are not left unattended in the hall, and an adult who is not a child's parent or guardian should not bring a child along alone. Some areas, including the VIP lounge, are limited to the ticket holders whose package covers them.

4. Bags, searches and prohibited items

Bags are checked at the entrance and staff can ask to look inside. Anyone who refuses a search cannot be admitted. Please leave at home:

  • Weapons, or anything that could be mistaken for one.
  • Illegal substances, and alcohol brought in from outside.
  • Laser pointers, drones, spray paint and fireworks.
  • Bicycles, skateboards and scooters inside the hall.
  • Animals, other than assistance dogs.
  • Anything else staff judge to be unsafe in a crowded room.

5. Selling and outside goods

Only exhibitors and vendors with an allocated space may sell, sample or hand out goods at the expo. Unauthorised trading, soliciting and flyer distribution are not allowed in the hall, the queue or the entrance area. If you would like a space, the vendor and exhibitor pages show how to apply while those windows are open.

6. Food, drink and keeping the hall usable

Food and beverages are sold on site by our vendors. Tell a vendor about a food allergy before you order, because we cannot guarantee that a stall's ingredients are free of a specific item. Use the bins, keep cups and bottles off the walkways, and take hot drinks carefully through crowded aisles.

7. Accessibility

Email expo@caribbean.dev before the event and tell us what you need, whether that is step-free routing, a seat near an area, help at the door or information in a different format. Assistance dogs are welcome. We arrange what we reasonably can with the venue and confirm it back to you, and the help desk knows who to call on the day.

8. Photography, film and press

We photograph and film on the day and use that material to promote future editions of the expo. Personal photos and short clips for your own use are welcome. Please do not record someone who has asked not to be recorded.

Commercial recording, professional cameras and coverage for a news outlet or channel need press accreditation. Write to expo@caribbean.dev with who you are and what you want to cover, and we will confirm what is permitted.

9. Exhibitor and vendor stands

  • Keep your stand and the aisle in front of it clear, tidy and open.
  • Never block an exit, a fire path or a first aid point.
  • Tape down or cover cables, and make sure displays cannot tip over.
  • Display prices plainly so people know what something costs before they ask.
  • Keep music and speaker volume low enough that the next stand can be heard.
  • Take your equipment, packaging and waste with you when the tear-down window closes.

10. Property, losses and damage

Personal belongings stay your responsibility. Do not leave bags unattended in a walkway, because an unattended bag is treated as a security concern. Lost property goes to the help desk, and items left there are held for 30 days after the event before they are passed on. Exhibitors and vendors are responsible for damage caused by their equipment, their displays or their staff.

11. Health, safety and emergencies

Follow the instructions of venue staff and organisers, including any instruction to move or to leave the hall. Tell a staff member straight away if you or someone nearby needs medical help, and mention a medical condition on your registration so we know who you are if you cannot tell us yourself. There is no smoking or vaping inside the hall. The programme can be paused, moved or ended early for safety.

12. Changes, closures and refunds

Sessions, rooms, timings and the line-up can change before or during the event, and we tell registered attendees about material changes. If you can no longer attend, email expo@caribbean.dev as early as you can. Refund requests are considered individually, as set out in our Terms of Service, and a cancelled or postponed event is handled there too.

13. Complaints and feedback

If something about the event let you down, tell us. Email expo@caribbean.dev or post on the community forum at community.caribbean.dev, ideally within 14 days of the event so the details are still fresh. Every message is read, and the things people raise most become the next version of these policies.
