Speaker and Volunteer Terms

These terms apply to everyone who takes part in Caribbean Tech Expo 2K27 as a speaker or a volunteer. They sit alongside the main Terms of Service, which still apply. Submitting a talk proposal or a volunteer application means you agree to them.
What is in this document
1. Who these terms cover
A speaker presents a talk, lightning talk, panel or workshop at the event. A volunteer helps the event run, for example at registration, wayfinding, stage support or the help desk.
Both roles are unpaid. Taking part as a speaker or volunteer does not create an employment relationship with Caribbean Tech Connect.
2. Applications and selection
- Submitting a talk proposal or volunteer application does not guarantee a place. We confirm selections by email.
- Speaker places are limited, and the registration form may close early once the limit is reached.
- Provide accurate details in your application. We may withdraw a place if key details turn out to be false.
- If you are under 18, a parent or guardian must agree to you taking part.
3. Talk content and delivery
- Talks must be your own work or work you have permission to present, with credit given where it is due.
- Keep to the time slot you are given so the schedule runs on time for everyone.
- Talks should inform or inspire the audience. A talk that is only a sales pitch for a product may be moved or shortened.
- Slides and materials must reach us by the deadline in your confirmation email so they can be tested on the hall equipment.
- No content that is unlawful, harassing or discriminatory. We can stop a session that breaks this rule.
4. Scheduling and changes
We set the talk schedule and volunteer shifts and share them before the event. Times can change for reasons outside our control, and we will tell you as early as we can.
If you can no longer make it, email expo@caribbean.dev as soon as possible so we can adjust the schedule or rota.
5. Recordings and publicity
Talks may be photographed, filmed or streamed, and speakers give us permission to publish those recordings, for example on our YouTube channel, with credit to the speaker. Photos and video from the day may include volunteers at work and may be used in future promotion, as described in the Privacy Policy.
6. Volunteer shifts
- Arrive on time for the shifts you sign up for and check in with your team lead.
- Follow the safety and venue instructions given during the briefing.
- Tell your team lead straight away if you feel unwell or cannot finish a shift.
- Volunteers receive the entry and refreshments listed in their confirmation email; travel and accommodation are your own unless we agree otherwise in writing.
7. Conduct
Speakers and volunteers follow the same code of conduct as everyone else: treat visitors, staff and other participants with respect. Harassment or unsafe behaviour can lead to removal from the event and from future editions.
8. Entry and tickets
Confirmed speakers and volunteers receive entry to the event for the day of their session or shift. This entry is for the named person only and cannot be transferred or sold.
9. Cancellations
If we cancel or postpone the event, confirmed speakers and volunteers are contacted directly with the new arrangements. Because these roles are unpaid, there are no fees to refund, but any ticket you bought separately is covered by the refund rules in the main Terms of Service.
10. Liability
You take part at your own risk. We take reasonable care of the venue and the people in it, but we are not responsible for loss or damage to personal belongings you bring.
